New Hire or Never Had a Job on Campus
If you have been hired for a new position here on campus, you will receive a congratulatory email with instructions on how to complete the “Onboarding” process.

All documents must be valid.
All forms must be completed in blue or black ink, signed, and dated.
- Original Social Security Card (must be signed) *
- Valid form of Photo ID
- Voided Check or Direct Deposit form from Bank, with Routing and Account Numbers
- IdentoGO Fingerprint Receipt
- W-4 form
- I-9 form
- Residency Certification form
- Local Service Tax Exemption Certificate form
* All Social Security Cards must be signed. Unfortunately, we cannot accept photo copies of your social security card by itself. If you bring in your original birth certificate, we can then accept a photo copy of your Social Security.
Required Documents for Non-U.S. Citizens / Permanent Residents
All documents must be valid.
All forms must be completed in blue or black ink, signed, and dated.
- Passport
- Visa
- I-94 form
- I-20 form
- Original Social Security Card (stating "Valid for Work only with DHS Authorization" - must be signed) *
In some cases, the following documents may be required:
- Valid Permanent Resident Card
- Valid Employment Authorization Card

Returning Student Employees
If you have previously been employed as a student worker, the following must be completed before you can begin work:
- Ensure that your supervisor has reached out to Student Payroll Specialist with confirmation of your employment.
- Bring required documents to Human Resources Office
- Compliance Training: These are three mandatory courses that need to be completed by all employees every academic year
All documents must be valid.
All forms must be completed in blue or black ink, signed, and dated.
- Voided Check or Direct Deposit form from Bank, with Routing and Account Numbers (ONLY if bank information has changed)
- W-4 form (if changes apply)
- Local Service Tax Exemption Certificate form
- Address Change Forms
I’ve already completed background check clearances for my major. Do I have to complete again?
If you have already completed clearances for any ESU major, we will accept them. Some examples are:
- Education
- Criminal Justice
- Athletic Training
- Nursing
- Health Studies
- Sociology
How can I get a copy of my clearances?
Email askhr@esu.edu for copies of clearances. You will receive copies within 3-5 business days.
